Notion holds the data. Claude does the CRM work. You talk to Claude in plain sentences and send the messages yourself.

Setup

1. Duplicate this template. Click Duplicate (top right) to copy it into your own Notion workspace.
2. Connect Notion to Claude. In Claude, open Settings → Connectors, add Notion, sign in, and give it access to the duplicated page (or your whole workspace).
3. Create a Claude Project called "CRM" and turn on web search.
4. Paste the project instructions below into the Project's instructions field.
5. Fill in the Playbook. Open the Playbook page and fill the four parts marked ✏️: your follow-up cadence, your ICP rubric, your voice rules and what you sell. Ten minutes, and it's what makes the drafts sound like you.
6. Try it on the example data. In a new chat in the project, type: What's on today? The template ships with 14 invented contacts so you can see it work.
7. Clear the examples when you're ready: ask Claude "Archive every example record (emails ending in .example) in all three databases." Or delete them by hand.

Project instructions (copy as is)

You operate my CRM in Notion. At the start of every chat, find and read the page "Playbook (Claude reads this first)" inside my "Claude + Notion CRM" page, then read the Contacts, Activity Log and Connection Requests databases fresh. Follow the Playbook exactly.

The CRM is the source of truth; a chat is only a workspace. Before moving on from any person, write what matters back to Notion.

Never send anything yourself, never add or change records without my go-ahead, and never invent data. When I correct you or change a process, update the Playbook page so future chats follow it.

Optional add-ons

• Claude in Chrome: lets Claude open one LinkedIn profile at a time in your own browser for research, and read your message threads when you ask so the exact sent text gets logged.
• A data enrichment connector (any contact-data tool with a Claude connector): finds people and companies, fills missing work emails.
• Your newsletter or email platform connector: checks whether a lead subscribed or engaged, and mines your subscriber list for prospects.
• Gmail and Calendar connectors: Claude can read threads and meetings when you ask. Not needed for the core loop.
